How to Automate Outreach with the Prospecting Agent in HubSpot

Configuring HubSpot's Prospecting Agent means building it a trustworthy foundation — an accurate selling profile, clear guardrails, and smart enrollment logic — before you let it research contacts and draft personalized outreach on your behalf.

What the Prospecting Agent actually does

The Prospecting Agent is an AI sales development rep built into HubSpot. Around the clock, it researches the contacts you point it at — reading their company's website, strategic goals, and recent activity — and then drafts personalized outreach in your voice, sent from your own reps' inboxes. You can keep it in a "review first" mode where a person approves every draft, or let it send on its own once you trust it.

The important thing to understand is that the agent is only as good as the setup behind it. The clicks to turn it on are simple. The value — and the safety — come from the decisions you make first.

Start with the selling profile

The selling profile is what tells the agent who you are and what you sell. HubSpot will analyze your website and draft a summary of your products, value proposition, and ideal customer. Do not leave that draft as-is. Read it, correct it, and sharpen the ideal-customer definition, because everything the agent writes inherits it.

If you sell multiple products to different audiences, build a separate selling profile for each. That way the pitch, tone, and positioning stay right for each segment rather than blurring into one generic message.

Decide how personal — and how autonomous — it should be

Two early decisions shape the whole experience. First, who the agent sends as: the contact's owner, the company's owner, or a single person on your team. Sending from the assigned owner feels more personal and protects deliverability. Second, how much freedom it has: review-before-sending, where a rep approves each email, or fully automatic.

Our strong recommendation is to launch in review-before-sending, every time. Let the drafts prove they're accurate and on-brand across a real batch before you consider letting the agent send on its own.

Protect your domain reputation with guardrails

This is the part that matters most and gets skipped most often. Before the agent contacts anyone, decide who it must never contact — current customers, competitors, partners — and load those into exclusion lists. Set a sensible send window, limit how often one person can hear from it, and lean on HubSpot's built-in safeguards, which cap cold outreach to a small number of emails per contact within a 90-day window to protect your sender reputation.

It's tempting to override those caps to send more. Don't. A burned email domain costs far more than the extra outreach is worth.

Wire up enrollment — the real strategy

Enrollment logic decides who the agent reaches out to and when, and it's where the actual strategy lives. You can enroll contacts by hand, with a rule inside the agent, or through a HubSpot workflow for more complex criteria. Tie enrollment to genuine buying interest and where a contact sits in your funnel, rather than pointing the agent at everyone.

One caution: never run both an in-agent rule and a workflow on the same trigger, or contacts will get double-emailed. Pick one path.

Budget for credits before you scale

The Prospecting Agent runs on HubSpot credits, consumed each time a lead is enrolled — roughly 100 credits per lead. Your plan includes a monthly allowance that doesn't roll over, so the number of leads you can work each month is finite before overage costs kick in. Estimate that spend up front and decide whether you need a capacity pack, so AI outreach scales predictably instead of producing a surprise bill.

Test, then roll out

Enroll a small batch first in review-before-sending. Read the research and the drafts: are they accurate, on-brand, and free of any claim you don't want made? Edit or regenerate until they're consistently right, then turn on your enrollment automation and switch on the daily digest so drafts don't sit unreviewed. From there, HubSpot's analytics show you enrollments, replies, and meetings booked — the scoreboard for tuning it over time.

What good configuration gives you

Set up with care, the Prospecting Agent handles the tedious top-of-funnel research and first-draft outreach your team never has time for, in your voice, with guardrails that protect your reputation and your budget. It's not a set-and-forget tool — it rewards ongoing monitoring and refinement — but a well-configured agent quietly and safely feeds your sales pipeline.
