What's included in HubSolved implementation

We configure HubSolved and your HubSpot CRM within 45 days. Here's an overview of what happens.

Required for every HubSolved subscription is a one-time implementation fee. We will help you map your properties, configure the integration, build some baseline lists and automations, and train your team how it works. This article explains what to expect during the implementation process.

First, understand the logistics and payments.

There are two separate charges for HubSolved. They are:

  1. A one-time implementation fee of $1,750 charged up front.
  2. A recurring monthly fee of $500 that begins after the implementation is complete.

When you finalize your HubSolved purchase, you will be charged the one-time implementation fee of $1,750 immediately. Then, your recurring subscription will start exactly 45 days later and recur automatically on the same day of each month. Your subscription will auto-renew until it's cancelled. 

We expect to complete the integration within 30 days. However, we delay the start of the subscription until 45 days after purchase, just to provide some additional buffer time in case we have a hard time scheduling the kickoff meeting or reaching any of the primary milestones.

1. Have our kickoff meeting

As soon as you finalize your payment, we'll send you a link to schedule your kickoff meeting. We'll want to get that on the calendar as soon as possible.

2. Map isolved fields to HubSpot properties.

Before we start syncing data from isolved, we need to make sure HubSpot has all the right properties to accurately accept the data.

We'll plan every field mapping and then create or update all the properties in HubSpot. This may be completed during our kickoff meeting. If not, it should be completed in a follow-up strategy session.

3. Install the HubSolved integration.

Once all the properties are created in HubSpot, we're ready to start pushing the data from the tables in isolved. Here's a sneak peak of what that looks like.

We'll walk you through the registration process and then sync all the properties. This will be completed during a brief working session following our kickoff meeting.

4. Merge records and clean up HubSpot.

If you already have client company and contact records in HubSpot, it will create duplicate records the first time you install HubSolved. So we'll help with the cleanup.

Our team will manually merge all duplicate records, keeping the synced record as the one to continue updating. This may take several hours of work. Our team will complete this within 1-2 weeks from the time the integration is installed.

5. Create active lists for client segmentation.

Now that you have most of your important client data in your CRM, there are endless opportunities for segmenting your clients for marketing, sales and customer service purposes.

We'll create basic active lists to segment your clients by status, size and other variables. This will take about 1 hour of work from our team, which we'll do after the CRM de-duplication and cleanup has been completed and approved.

6. Build some basic automated workflows.

In addition to clean data and segmenting, now you can trigger automation based on updates to your client records. Automations like emails, tasks, internal notifications and more.

We will build workflow automation that will:

  • Update Lifecycle Stage when a client is turned active
  • Notify the implementation team when the sales team closes a deal
  • Update Lifecycle Stage when a client is terminated

Like the lists, this will take about 1 hour of work from our team, which we'll do after the CRM de-duplication and cleanup has been completed and approved.

7. Provide you with a roadmap for configuring HubSpot for marketing, sales and customer service functions.

8. Train your team on how to maintain HubSolved.

HubSolved provides you with an admin portal that allows you to add new mappings, customize existing mappings and monitor sync health. So we'll make sure you'll understand how to log in and customize your integration during the implementation phase. 

We'll conduct a live training session with you and your team on a recorded Zoom meeting. We'll show you how to use it, answer your questions, provide some supporting documentation and send you the recording of the training.

Your ongoing subscription also includes:

  • On-call support
  • 2 hours of HubSpot configuration and maintenance per month

You may also choose to hire The Gist for additional services, including HubSpot configuration, content marketing, web development and more.

Any agency services are delivered through a separate agreement from your HubSolved subscription.
